Privacy Policy and Cookies

How Teams Elevated collects, uses, and protects information — including the information clubs and families trust us with about young athletes.

This Privacy Policy explains how Teams Elevated collects, uses, shares, and protects personal information when you visit our website or use the Teams Elevated sports club management platform.

It applies to everyone who uses the Services: club administrators, coaches, team managers, parents and guardians, athletes, and visitors to our website. Please read it alongside our Terms of Service.

A note about your club. Each club or organization manages its own account inside Teams Elevated, and its administrators and coaches control the rosters, teams, communications, and billing within it. Your club may have its own privacy practices and policies, which this Privacy Policy does not cover. If you are a parent, guardian, or athlete, your club is usually the best first stop for questions about the specific information it keeps about you.

1. Information We Collect

Information you or your club provides

  • Account and profile information — name, email address, phone number, password, your role (administrator, coach, team manager, parent or guardian), and the club and teams you are associated with.
  • Athlete information — first and last name, date of birth, jersey number, playing position, team and age group, event RSVPs and attendance, and the guardian relationships that link an athlete to a parent or guardian. See Children's Privacy for how we handle information about athletes under 13.
  • Parent and guardian information — name, relationship to the athlete, email address, phone number, whether you are the primary contact, and your communication preferences.
  • Registration information — the responses you submit on your club's registration pages when you sign an athlete up for a season, program, or tournament.
  • Documents you upload — files stored in the platform's document features, such as waivers, proof of age, medical or physical clearance forms, insurance information, and coaching certifications. Some of these documents may contain health information; we treat that as sensitive information.
  • Communications — the content of emails and text messages sent through the platform, the recipients selected, and each contact's unsubscribe or opt-out status.
  • Billing and payment records — the payment items and invoices assigned to an athlete or family, amounts owed, payment plan terms, outstanding balances, and payment status and history.
  • Support requests — the messages, screenshots, attachments, and contact details you send us when you ask for help.

Information we collect automatically

  • Device and usage information — IP address, browser type and version, operating system, device type, the pages and features you use, links you click, the page that referred you, and the dates and times you access the Services.
  • Cookies and similar technologies — described in Section 3.
  • Email and text message engagement — whether a message was delivered, opened, or clicked, and whether it bounced or was reported as spam. Clubs can see these metrics for their own sends in the platform's communication reporting.

2. How We Use Information

We use personal information to:

  • Create and secure accounts, verify identity, and apply the correct role-based permissions;
  • Build and manage rosters, teams, age groups, schedules, events, and tournaments;
  • Send emails and text messages on behalf of your club, and honor unsubscribe and opt-out requests;
  • Create invoices, track payments and outstanding balances, and produce financial reports for your club;
  • Operate registration for seasons and programs;
  • Track compliance documents and certifications on your club's behalf;
  • Provide customer support and respond to your questions;
  • Monitor for, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms of Service;
  • Maintain, troubleshoot, and improve the Services, including understanding which features are used and where people get stuck;
  • Send you administrative messages about your account, billing, security, and material changes to our terms or this policy; and
  • Comply with legal obligations and enforce our rights.

We do not use the personal information of athletes, children, or any user under 18 for targeted or behavioral advertising, and we do not sell personal information. See Section 4.

3. Cookies and Analytics

We use cookies and similar technologies for a few distinct purposes:

  • Strictly necessary — keeping you signed in, maintaining your session, securing forms, and remembering your role and club context. The Services will not work correctly without these.
  • Preferences — remembering settings such as your display choices and filters.
  • Analytics — understanding how visitors find and use our website and platform, in aggregate. We use Google Analytics 4 for this.

Our marketing website is built on Duda, which may set its own cookies to operate and measure the site.

You can block or delete cookies through your browser settings. If you block strictly necessary cookies, parts of the Services may stop working. We honor the Global Privacy Control (GPC) signal where required by law. We do not currently respond to browser "Do Not Track" signals, because there is no common standard for them.

4. How We Share Information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only in the following circumstances.

Within your club

Teams Elevated is a shared workspace, and what each person can see depends on their role:

  • Club administrators can see and manage information across all of the club's teams, athletes, guardians, communications, and billing.
  • Coaches and team managers can see and manage information for the teams they are assigned to, including athlete profiles and guardian contacts for those teams.
  • Parents and guardians can see information about the athletes they are linked to, including schedules, invoices, and documents.

Service providers

We use a small number of vendors to run the Services. They may process personal information only to perform services for us, under contracts that prohibit using it for their own purposes:

  • Email delivery — SendGrid, to send club emails and process unsubscribes, bounces, and engagement reporting.
  • Text messaging — Twilio, to deliver text messages and handle STOP and START opt-out replies.
  • Analytics — Google Analytics 4, to measure website and product usage.
  • Cloud hosting and infrastructure — Amazon Web Services , where the Services and their data are stored.
  • Website platform — Duda, which hosts our marketing website and help center.

Other limited circumstances

  • When you ask us to — at your direction or with your consent.
  • Legal and safety — when we believe in good faith that disclosure is required by law, subpoena, or court order, or is reasonably necessary to protect the safety of a child or any person, to investigate fraud or abuse, or to protect our legal rights.
  • Business transfers — if we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will require the recipient to honor this policy, or we will give you notice and a choice before information becomes subject to a materially different policy.
  • Aggregated or de-identified information — we may create and share statistics that cannot reasonably be used to identify anyone.

We do not disclose the personal information of children to third parties other than the service providers listed above.

5. Children's Privacy

Teams Elevated is built for youth sports clubs, so the platform holds information about children. Children do not use it directly.

Accounts belong to adults

Only adults create and hold accounts on Teams Elevated: club administrators, coaches, team managers, and parents or guardians. Athletes under 13 are not given their own logins, and we do not ask children to submit information to us or invite them to create profiles.

An athlete's information is entered by an adult — a club administrator or coach building a roster, or a parent or guardian completing the club's registration on their child's behalf. A parent or guardian who holds an account can see and manage the information about the athletes they are linked to through the Parent Portal.

We do not knowingly collect personal information online directly from children under 13. If we learn that a child has provided personal information to us directly, we will delete it. If we ever begin offering accounts to athletes 13 or older, we will update this policy before we do.

What we hold about athletes

Because the information comes from adults rather than from children, what we hold about an athlete is what their club or their parent gives us:

  • First and last name, date of birth, jersey number, playing position, team and age group;
  • Event RSVPs and attendance;
  • An email address or phone number, where a parent, guardian, or club chooses to provide one so the athlete can receive team communications;
  • Documents uploaded about the athlete, such as waivers, proof of age, and medical or physical clearance forms; and
  • Invoices and payment status associated with the athlete's participation.

How we use and share it

We use an athlete's information only to operate the roster, scheduling, communication, registration, document, and billing features their club relies on. We do not use it for targeted or behavioral advertising, we do not sell it, and we do not disclose it to third parties other than the service providers listed in Section 4. Within the platform, it is visible only to the club's administrators, the coaches assigned to that athlete's team, and the guardians linked to that athlete.

We do not sell the personal information of any user under 18, and we do not use it for targeted advertising.

Messages sent to athletes

If a parent, guardian, or club provides an athlete's email address or phone number, the athlete may receive team emails and text messages from their club. Those messages carry the same controls as everyone else's: an unsubscribe link on every email, and STOP to end text messages. A parent or guardian can also remove the athlete's contact details, or ask their club to, so that no messages are sent to the athlete at all.

Rights of parents and guardians

If you are the parent or guardian of an athlete, you may at any time:

  • Review the personal information we hold about your child;
  • Ask us to correct or delete it; and
  • Ask us to stop collecting or using it.

Your club administrator can usually act on these fastest, because your club controls its own rosters and records. You can also email us at info@teamselevated.com. We will take reasonable steps to verify that you are the athlete's parent or guardian before acting on the request. Please note that if you ask us to delete your child's information, we may no longer be able to support your child's participation in their club's use of the Services, so it is worth talking to your club first.

6. Your Choices

  • Club emails — every email sent through the platform includes an unsubscribe link. One click, with no login required, lets you unsubscribe from all of that club's emails or from team emails only. We keep a suppression list so unsubscribed contacts are automatically excluded from future sends.
  • Text messages — reply STOP to any text message to opt out, or START to opt back in. Opt-outs are applied automatically.
  • Account and profile information — you can update much of your own information by signing in. Athlete and roster details are usually maintained by your club, so your administrator or coach can correct those quickly. You can also ask us.
  • Administrative messages — some messages, such as billing notices, security alerts, and changes to our terms, are part of the Services and cannot be turned off while your account is active.
  • Cookies — see Section 3.

7. Your Privacy Rights

Depending on where you live, you may have specific rights over your personal information. If you live in California or in another U.S. state with a comprehensive consumer privacy law — including Colorado, Connecticut, Indiana, Oregon, Texas, Virginia, and a growing list of others — you generally have the right to:

  • Know and access — find out what personal information we collect, the categories of sources and recipients, why we collect it, and get a copy of it;
  • Correct — ask us to fix inaccurate personal information;
  • Delete — ask us to delete personal information we hold about you, subject to legal exceptions;
  • Portability — receive a copy in a portable, readily usable format;
  • Opt out of sale, sharing, and targeted advertising — we do not do any of these, so there is nothing to opt out of; and
  • Limit use of sensitive information — we use sensitive information, such as a date of birth or health information in an uploaded clearance form, only to provide the Services and for the other purposes permitted by law.

We will not discriminate against you for exercising any of these rights.

How to exercise your rights

Email us at info@teamselevated.com with the request you would like to make. To protect your information, we will ask you to verify your identity, and we may need to match details against the information already in your account. You may use an authorized agent, in which case we will ask for proof of their authority.

We will respond within 45 days. If we need more time, we will tell you why and how much longer we need, up to an additional 45 days. If we deny your request, you may appeal by replying to our response; we will tell you the outcome of the appeal and, if we deny it, how to contact your state attorney general.

If your club is the one holding your information. For most athlete and family information, your club decides what to collect and how long to keep it. If we receive a request that we can only fulfill by changing your club's records, we will pass it to your club and let you know.

8. How Long We Keep Information

We keep personal information for as long as your club's account is active and for as long as we need it to provide the Services. After that, we keep it only as long as necessary to comply with our legal, tax, accounting, and recordkeeping obligations, to resolve disputes, and to enforce our agreements. We will get your data deleted within 6 months of account closure. If you need it done sooner, you can let us know.

Records that must be retained for legal reasons, such as billing and payment history, may be kept longer than other information. Backups are retained on a rolling schedule and are overwritten in the ordinary course.

9. How We Protect Information

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption of data in transit, role-based access controls so people only see the teams and athletes they are responsible for, access logging, and limiting internal access to staff who need it.

No online service can be completely secure. Please use a strong, unique password, do not share your login, and tell us right away at info@teamselevated.com if you believe your account has been compromised.

10. Other Important Details

Where information is processed

Teams Elevated is operated in the United States, and personal information is stored and processed here. The Services are intended for use in the United States and are not directed to individuals in the European Economic Area, the United Kingdom, or Switzerland.

Links to other sites

Our website and the platform may link to sites we do not operate, including club websites and league sites. We are not responsible for their privacy practices, and we encourage you to read their policies.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. If the changes are material, we will give you additional notice — by email or through the Services — before they take effect. If a change materially affects how we handle a child's personal information, we will obtain new parental consent where the law requires it.

Exactly which cookies our website sets, what each one does, how long it lasts — and how to turn them off.

This Cookie Policy explains how Teams Elevated uses cookies and similar technologies on our website, including our Help Center. It is a companion to our Privacy Policy, which covers personal information more broadly.

This policy covers our public website. Cookies used inside the logged-in Teams Elevated platform are limited to what is needed to keep you signed in and to keep your club's data separate and secure; those are described in our Privacy Policy.

The short version. We use a small number of cookies: some are required for the site to work, and the rest are Google Analytics, which tells us in aggregate how people find and use the site. We do not use advertising cookies, we do not track you across other websites, and we do not sell your information.

1. What Cookies Are

A cookie is a small text file that a website stores on your device. Cookies let a site remember things between page loads and between visits — that you are signed in, what you have already dismissed, or that you are the same visitor who came back last week.

Two distinctions matter for the rest of this page:

  • First-party vs. third-party. First-party cookies are set by the site you are visiting. Third-party cookies are set by another company whose code runs on the page — in our case, Google.
  • Session vs. persistent. Session cookies are deleted when you close your browser. Persistent cookies stay for a set period, listed in the table below.

We also use related technologies, such as your browser's local storage, for the same kinds of purposes. Where this policy says "cookies," it means those too.

2. The Cookie Notice on Our Site

When you first visit our website, you will see a notice at the edge of the screen that reads:

"We use cookies to ensure that we give you the best experience on our website. To learn more, go to the Privacy Page."

We want to be straightforward about what that notice does and does not do. It is informational. It tells you cookies are in use and points you to more detail. It does not ask you to choose between categories of cookies, and dismissing it is not treated as consent to anything.

Because the notice does not gate them, the cookies described below — including Google Analytics — are set when you arrive. If you would rather they were not, Section 5 explains how to block or remove them, and those methods work regardless of the notice.

3. Cookies We Use

Strictly necessary

These are required for the website to function and to protect it from abuse. They cannot be switched off through our site, though you can still block them in your browser — parts of the site will stop working if you do.

Analytics

These tell us how the website is used, in aggregate: which pages people land on, how they got there, and where they drop off. We use this to decide what to write and what to fix. We use Google Analytics 4, and our measurement ID is G-3ET3WSN7JC .

Google Analytics data is processed on our behalf and is not used by us to identify you personally. Google's own handling of this data is governed by its privacy terms. You can opt out of Google Analytics on every site you visit using Google's browser add-on.

4. What We Don't Use

It is worth being specific, because a lot of websites do use these and we do not:

  • No advertising or retargeting cookies. We do not run ad pixels. You will not see Teams Elevated ads follow you around the internet because you read our pricing page.
  • No social media tracking pixels. No Meta or Facebook pixel, no LinkedIn Insight Tag, no TikTok or X pixel.
  • No session recording or heatmapping. We do not record your mouse movements, clicks, or keystrokes.
  • No cross-context behavioral advertising, and no sale of personal information. This is also stated in our Privacy Policy, and it applies to cookie data as much as anything else.
  • No advertising or analytics cookies aimed at children. Athletes do not hold accounts on Teams Elevated, and we do not use cookie data to build profiles of young people.

If that ever changes — if we add an advertising pixel, for instance — we will update this page before the change goes live, and revisit whether a consent banner with real choices is required.

5. How to Control Cookies

In your browser

Every major browser lets you see the cookies a site has set, delete them, and block future ones. Blocking all cookies will break parts of our site, and most sites:

  • Google Chrome
  • Safari
  • Firefox
  • Microsoft Edge

Opting out of analytics specifically

If you want the site to work normally but would rather not be counted in our analytics, install Google's Analytics Opt-out Browser Add-on. It applies to every site, not just ours.

Global Privacy Control

We honor the Global Privacy Control(GPC) signal where the law requires it. GPC is a setting in some browsers and extensions that automatically tells every site you visit not to sell or share your personal information. Because we do not sell or share personal information in the first place, GPC does not change how we handle your data — but we recognize the signal.

"Do Not Track"

We do not respond to browser "Do Not Track" signals, because the industry never settled on a common meaning for them. GPC, above, is the workable version of the same idea.

6. Third Parties That Set Cookies

Only two companies set cookies through our website:

  • Google — for Google Analytics 4 and for reCAPTCHA on our forms. See Google's privacy terms.
  • Duda — the platform our website and Help Center are built on. Its cookies are first-party and operational. See Duda's privacy terms.

Pages on our site may embed content from other services, such as an embedded video or map. If we add an embed that sets its own cookies, we will add it to this page.

7. Changes to This Policy

We will update this page when the cookies we use change, and we will change the "Last updated" date at the top. Because cookie inventories drift as websites are edited, we review this page every 6 months and after any significant change to the site.
