Composing an Email

Step-by-step guide to composing and sending emails from the CRM.

How to Compose an Email

  1. Navigate to Communications
  2. Click Compose
  3. Select Email as the channel

Selecting Recipients

The recipient selector works like Gmail or Outlook:

  1. Type to search — Enter a name, email, or phone number
  2. Select from results — Click a contact to add them as a chip
  3. Select groups — Choose pre-built groups like "All parents of Team A"
  4. Remove — Click the X on any chip to remove a recipient
  5. Exclude from group — After adding a group, remove specific individuals

Contacts who have unsubscribed are flagged with a warning and excluded automatically.

Writing Your Email

  • Subject Line — Enter a clear, descriptive subject
  • Template — Optionally select a pre-built template from your club’s library
  • Body — Write your message or customize the selected template
  • Templates support dynamic variables like event name, date, and location

Sending

Click Send to queue your email. Emails are processed asynchronously, meaning:

  • They’re placed in a queue and sent in the background
  • Delivery status updates appear in the communication log
  • Failed sends are retried automatically (up to 3 times)

After Sending

View your sent email in the communication log to track:

  • Delivery status per recipient
  • Open and click tracking
  • Bounce notifications

Tips

  • Preview your email before sending, especially when using templates with variables
  • Use a clear subject line — it improves open rates
  • Check for unsubscribed contacts in the recipient list before sending
