Recipient Selection

Learn how the Gmail-style recipient selector works for emails and SMS.

How It Works

The recipient selector is designed to feel like Gmail or Outlook. As you type, matching contacts appear in a dropdown.

Searching for Contacts

Start typing a contact’s:

  • Name — First or last name
  • Email address — Full or partial
  • Phone number — For SMS sends

Results appear grouped by type: Athletes, Guardians/Parents, Coaches.

Selecting Recipients

  • Click a result to add them as a chip/tag in the recipient field
  • Select a group to add everyone at once (e.g., "All parents of U14 Boys")
  • Selected recipients appear as removable chips

Removing Recipients

Click the X on any chip to remove that person. This works for both individual and group selections — removing someone from a group selection excludes just that person.

Group Selection

Available groups include:

  • All athletes on a specific team
  • All parents/guardians of a specific team
  • All coaches on a specific team

After selecting a group, you can exclude specific individuals by removing their chips.

Unsubscribed Contacts

  • Contacts who have unsubscribed appear with a red flag and strikethrough
  • They are excluded from sends by default
  • A warning message shows how many contacts were excluded

Role-Based Scoping

  • Admins see all contacts in the club
  • Coaches only see contacts from their assigned teams

Tips

  • Use group selection for team-wide announcements, then exclude specific recipients if needed
  • Pay attention to the unsubscribed warnings before sending
  • For SMS, contacts without phone numbers are automatically excluded with a visible warning
