Email Templates

Create reusable email templates with dynamic event variables using the drag-and-drop editor.

Template Library

Navigate to Communications > Email Templates to browse your club’s template library. Templates are reusable email designs that can be sent to any recipient group.

Creating a Template

  1. Click New Template
  2. The Unlayer drag-and-drop editor opens
  3. Build your email using:
    • Text blocks — Add headings, paragraphs, lists
    • Images — Upload or link images
    • Buttons — Add call-to-action buttons
    • Columns — Create multi-column layouts
  4. Set a template name and category
  5. Click Save

Dynamic Variables

Templates support merge fields that auto-fill with real data when sent:

Variable What It Shows
{{event_name}} Name of the linked event
{{event_date}} Event date
{{event_time}} Event start time
{{event_location}} Event venue/location
{{team_name}} Recipient’s team name

Team Visibility

Control which teams can use each template:

  • All Teams — Available to every team in the club
  • Specific Teams — Only visible to selected teams
  • Club Only — Only usable by club admins

Who Can Do What

  • Admins — Create, edit, duplicate, and delete templates
  • Coaches — Use templates when composing emails (cannot create or edit)

Tips

  • Duplicate an existing template to create variations quickly
  • Use variables to personalize event-related communications
  • Preview your template before saving to check the layout
