Volunteer Management

Manage volunteers, track background checks, and handle volunteer signup requests.

Overview

Navigate to Volunteers to manage your club’s volunteer program. Track volunteer assignments, background check compliance, and handle signup requests.

Volunteer List

The main volunteers page shows all registered volunteers with:

  • Name and contact information
  • Assigned teams
  • Background check status (cleared, pending, expired)
  • Active/inactive status

Adding Volunteers

  1. Click Add Volunteer
  2. Enter volunteer details (name, email, phone)
  3. Assign to teams
  4. Track background check status

Signup Requests

When volunteers sign up through the parent portal, their requests appear in Volunteers > Requests:

  • Review each request
  • Approve or reject
  • Approved volunteers are added to the volunteer list

Compliance Dashboard

Navigate to Volunteers > Compliance to track:

  • Compliance rates by team — percentage of volunteers with cleared background checks
  • Pending checks — volunteers awaiting background check results
  • Expiring checks — background checks approaching expiration dates

Background Check Tracking

For each volunteer, track:

  • Check submission date
  • Check status (pending, cleared, failed)
  • Expiration date
  • Renewal requirements

Tips

  • Set up background check requirements before the season starts
  • Review the compliance dashboard weekly to catch expiring checks
  • Use the parent portal volunteer signup to simplify the process for parents
